1. Information we collect
We collect only what we need to run the platform. This falls into four categories:
Account information: Name, email address, and password (hashed) when you register. If you sign in with Google, we receive your Google profile name and email. No account is required to browse or apply - we only collect this if you choose to create one.
Physician profile information (optional): Medical specialty, license status, target role type, salary expectations, and career preferences. You provide this voluntarily to receive personalized recommendations and job alerts. You may omit any field.
Usage and technical information: IP address, browser type, device type, pages visited, search queries on our site, and job listings you view or save. Collected via cookies and standard server logs to improve product performance and relevance.
Email alert subscriptions: Your email address and saved filter criteria (e.g., specialty, work arrangement) when you subscribe to job alerts.
What we do not collect: We do not collect DEA numbers, NPI numbers, state license numbers, social security numbers, or any sensitive credentials. We do not ask for CV or resume uploads unless you explicitly offer them as part of a profile feature.
2. How we use your information
To display and personalize job listings based on your specialty, license status, and preferences.
To send job alert emails matching your saved filter criteria.
To enable saved jobs, application tracking, and cross-device sync (account holders).
To analyze aggregate usage patterns and improve platform features and relevance.
To send product updates and announcements (you may opt out at any time).
To detect fraud, abuse, or scraping of our platform.
To comply with legal obligations.
We do not use your information for ad targeting. We do not build advertising profiles. We do not allow third-party advertisers to access your data.
3. Physician profile data and sensitive information
Physician profile fields (including specialty, license status, and burnout or career transition context) may be considered sensitive professional information. We treat this data with additional care:
Profile data is used only to improve job relevance for you - it is never sold or shared with employers without your explicit consent.
Employers on the platform cannot search or browse individual physician profiles unless you have explicitly opted in to candidate visibility (a feature requiring affirmative action on your part).
License status data is used solely to power the "No License Required" filter - it is not transmitted to third parties.
6. Data retention
We retain account data for as long as your account is active.
Email alert subscriptions are retained until you unsubscribe.
Anonymized usage data (page views, search queries without identity) may be retained indefinitely for product analytics.
If you delete your account, your personal data is purged within 30 days, except where retention is required by law.
7. Security
All data is transmitted over HTTPS.
Passwords are hashed using industry-standard algorithms and never stored in plaintext.
Access to production databases is restricted to authorized personnel.
No method of transmission is 100% secure - if you believe your account has been compromised, please contact us immediately.
8. Your rights and choices
Regardless of your location, you have the right to:
Access: request a copy of the personal data we hold about you.
Correct: update inaccurate information via your account settings.
Delete: request deletion of your account and associated personal data.
Opt out of emails: unsubscribe from job alerts or announcements at any time via the unsubscribe link in any email.
Opt out of candidate visibility: if you have enabled employer profile visibility, you may disable it at any time in account settings.
California residents have additional rights under CCPA, including the right to know what categories of data we collect and to opt out of sale (we do not sell data). EU/UK residents have rights under GDPR, including the right to data portability and to lodge a complaint with a supervisory authority.
9. Third-party links and job applications
Many job listings on Physician Pivot link out to external employer websites or application portals. Once you leave our platform by clicking an "Apply" link, you are subject to the privacy policy of that employer’s website. We are not responsible for the data practices of third-party employers, application tracking systems (such as Workday, Greenhouse, or Lever), or any other external sites.
10. Use of artificial intelligence
We use AI services to improve the quality and accuracy of information displayed on the platform. This section explains exactly what AI processes and what it does not.
Job and company data enrichment: We use various LLM models (OpenAI GPT, Anthropic Claude) to enrich job listings and company profiles. This involves only job and company data and never personal user data.
Specific uses include: extracting structured information (category, seniority level, required skills, schedule type) from job descriptions; generating informative company profiles from publicly available data; parsing and standardizing location information from job postings; and extracting and normalizing salary information from job descriptions.
Resume processing (if applicable): If you upload a resume, the text content is sent to an AI service to extract structured information, such as skills, work experience, and education, solely to populate your profile and improve your experience on the platform. Your resume content is not used for any other purpose.
AI provider data handling: Our AI providers (Anthropic and OpenAI) do not use your data to train their models. Data is transmitted via encrypted connections and processed in real time. Under their standard commercial terms, inputs and outputs may be retained on their infrastructure for up to 30 days for trust-and-safety review, after which they are deleted. This is governed by the respective data processing agreements we hold with each provider.
11. Children's privacy
Physician Pivot is intended for adults with medical degrees and is not directed at individuals under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has submitted data to our platform, please contact us so we can remove it.
12. Changes to this policy
We may update this policy as the platform evolves.
For material changes - such as a new category of data collection or a new sharing arrangement - we will notify registered users by email at least 14 days before the change takes effect.
The updated policy will always be available at physicianpivot.com/privacy.
